GASTRONOMY OUTDOORS EVENT AGREEMENT
This Event Agreement (“Agreement”) is made by and between Gastronomy Outdoors (“Provider”) and the undersigned client (“Client”) for the provision of culinary and educational services related to wild game processing and/or game dinners at the Client’s property.
1. Event Details & Confirmation
Client agrees to provide final confirmation of all event details—including but not limited to menu selections, serviceware preferences, guest count, schedule, and logistical considerations—no later than 14 calendar days prior to the scheduled event start date (“Finalization Deadline”).
Failure to finalize details by the Finalization Deadline may result in additional charges or, at Gastronomy Outdoors’ discretion, cancellation of the event without refund of deposit.
2. Deposit & Payment Terms
To reserve the proposed date, a non-refundable deposit equal to 30% of the total estimated event cost is required. This deposit must be paid no later than 14 calendar days prior to the event date.
Final payment of the remaining balance is due within 30 days of the conclusion of the event (Net 30). Late payments may be subject to a 5% late fee for every 15 days past due.
3. Wild Game Harvest Disclaimer
Client understands and agrees that Gastronomy Outdoors makes no guarantee that a wild game harvest will yield usable material for the processing or culinary portion of the experience.
In the event that harvested game is not suitable or available, Gastronomy Outdoors will source alternate protein at its discretion to ensure the continuation of the event. The cost of any supplemental or substitute protein will be added to the final invoice.
4. Game Quality Standards
Gastronomy Outdoors reserves the right to decline the use of any wild game provided by the Client if it is deemed unsafe, improperly handled, or not up to culinary quality standards.
In such cases, Gastronomy Outdoors will source alternative ingredients and bill the cost to the Client on the final invoice.
5. Liability & Risk Acknowledgment
Client acknowledges that activities involved in this experience, including but not limited to hunting, handling harvested game, or ranch-based cooking experiences, carry inherent risks.
Client agrees that Gastronomy Outdoors is not responsible or liable for any injuries, accidents, or damages to persons or property, including those of the Client, guests, or ranch staff, that may occur during or in connection with the event.
6. Client Responsibilities
Client shall ensure that the property is reasonably accessible, safe, and properly equipped for the services being provided. This includes basic amenities, shelter if required, and access to a clean workspace for culinary preparation if applicable.
Client is also responsible for informing guests of any relevant safety instructions or participation risks associated with the event.
